Experienced Legal Administrative Support Coordinator | +5 yrs | Istanbul [Turkey]


 

Our client, a prestigious and international law firm, is seeking a Legal Administrative Support Coordinator to join their team in Istanbul. The candidate for this role will provide proactive practice and administration support to a team of six lawyers, primarily in relation to billable client work, and ensuring clients are serviced in a professional manner and in accordance with the firm’s policies and procedures. You will work actively to enhance fee earners effectiveness by providing information-management support and representing them to clients and others. This includes being a part of a client matter team and coordinating and supporting alll matter-related processes from matter inception to project completion, billing and collection, matter team support and business development support services. This role goes beyond calendar and travel management and requires a business-minded individual with exceptional attention to detail, skill in editing and document management, and troubleshooting capacity.

The job responsibilities include, but are not limited to:

  • Matter (corporate legal practice activity) Management and Matter Team Support in regard to processes, engagement letters, checklists, project administration, archiving, and transcribing, editing and amending legal and other documents.
  • Producing billing reports, invoices and reimbursements while working with the fee earners to ensure bills meet needs of clients and tracking down missing invoices, as well as reviewing time entries.
  • Administrating documents on behalf of fee earners (e.g. preparation of draft legal documents, attending to court filing, organizing service of legal documents, expert and witness arrangements and appointments, conducting research at fee earner request).
  • Drafting documents and review of templates, maintenance of guides/information hubs on the intranet.
  • Advising Partners / Associates on the use of delivery tools / automation and advising on when to liaise with internationally based Legal Delivery Centres.
  • Supporting Partners and the BD team with business development activity by amending business development and client focus materials including CVs, pitches, presentations, client briefings etc.
  • Handling all calls, correspondence and emails in a professional manner.

The ideal candidate will have a minimum of 5 years of administrative support experience gained within a law firm. Successful candidates will be tech savvy and possess an excellent work ethic, be proactive and motivated to learn, with a proven ability to work autonomously as well as on a team. Willingness and enthusiasm to work with and support different groups within the firm is desired. Equally so, you will be problem-solving oriented and be able to demonstrate an advanced proficiency with Microsoft Office, with an emphasis on Word and document formatting. SharePoint and the ability to adapt to and use internal software and systems are also required. The ideal candidate must be fluent in English, both verbal and written, with an international background and must be able to perform under pressure, managing time effectively to handle multiple tight deadlines and maximize productivity.
